Now Hiring: Office Assistant

Position Summary:
This is a full-time position supporting the Administration Office and Police Department. Under the direction of the Village Administrator and Police Chief, this employee performs a wide variety of tasks.  In addition to handling day to day activities including phone calls, sorting, and processing mail, this individual is the first contact for customer services, taking and processing account receivable payments, reconciling bank deposits, assisting with payroll processing, and completing law enforcement secretarial work. The Office Assistant is required to exercise independent judgement and provide respectful and courteous service while multitasking in a fast-paced team orientated office.

Examples of Work Performed:
The following duties are typical for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Serves as office receptionist in greeting guests and answering the phone.
  • Maintain employee personnel files, including confidential information pertaining to job performance, discipline, medical matters, and payroll.
  • Prepares vouchers, invoices, and supporting documents preliminary to approval for payments, including preparation of quarterly Water and Sewer bills.
  • Collects and receipts incoming revenue from all departments within the Village and Utilities.
  • Issues receipts, posts and balances receipts and cash, reconciles accounts, maintains ledgers and book of accounts.
  • Maintain files and entry of data of law enforcement citations, reports, and parking citations.
  • Process parking violations and suspend driver registrations for unpaid parking violations.
  • Prepare and submit monthly Uniform Crime Reports for submission to the WI DOJ, while making sure all the WIBR criteria are correct in the RMS system.
  • Prepare files related to law enforcement activities, citations, monthly reporting requirements.
  • Supports the Village Clerk and will cross-train and help with payroll along with during Village Elections as a back-up supporting role. Including but not limited to maintaining WisVote records, ballot printing, election-day activities and post-election-day activities.
  • Process, Prepare and issue alcoholic beverage, cigarette, operator, dog, Building Permit, and other licenses.
  • Participates in the preparation and mailing of annual tax statements.
  • Assists Village Administrator with the implementation of projects and resolutions of complaints.
  • Coordinates facilities reservations.
  • Attends Village Committee and Village Board meetings as necessary.
  • Performs related work as required.

Knowledge, Skills and Abilities:

  • Knowledge of general office procedures and standard record keeping procedures.
  • Knowledge of computer operations and functions, and ability to operate a variety of office machines.
  • Ability to prioritize and coordinate necessary workflow to meet rigid schedule requirements.
  • Ability to maintain effective working relationships with other Village employees and the public.
  • Clear communication abilities and skills in written and verbal form.
  • Must maintain basic knowledge of state and local ordinances affecting the public and keep current by attending seminars, meetings, and review appropriate technical journals.
  • Ability to problem solve in a variety of situations.
  • Ability to contribute to a positive work culture that fosters excellent customer service and teamwork.
  • Understands the Village of Marathon City’s mission, core values, plans, and priorities for the future.

Qualifications:
Associates degree in related field and two years of experience providing customer service and administrative support in a fast-paced office.  An equivalent combination of education and work experience providing the knowledge, skills and abilities may be considered.

Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Requires a capacity to intermittently sit, stand, walk, bend and lift up to 15-25 pounds at times.
Must be able to perform the functions of the job with or without reasonable accommodations.

Working Conditions:  A smoke-free indoor environment maintained at a reasonable level of comfort with no exposure to hazardous materials.  Occasional exposure to agitated or angry callers or visitors can be expected.

Wage/Salary Range Established by Annual Salary Resolution: $16.00 to $19.00 per hour with full benefits package offered by the Village of Marathon City found in the Employee Handbook.
